Privacy Policy

Last updated: September 21, 2026

This Privacy Policy explains how Multi Score Screen ("we", "us") collects, uses, shares and protects personal data when you visit multiscorescreen.com, contact us, or use our live score screen service. We aim to collect only what we need, to be clear about why, and to respect the rights you have under the EU General Data Protection Regulation (GDPR) and similar laws.

1. Who is responsible for your data

For personal data collected through our website and our own business communications, Multi Score Screen is the data controller. You can reach us at info@multiscorescreen.com.

When a club or venue uses the Service and enters data about its own players, members or reservations, that club or venue decides why and how the data is used and is the controller; we act as its processor and handle that data only on its instructions.

2. What we collect

Depending on how you interact with us, we may process:

  • Form submissions: when you use our contact, demo request, distributor or quote forms, the details you enter, namely your name, email address, phone or WhatsApp number, country, number of courts, and any message or notes you write.
  • Correspondence: the emails or messages you send us and our replies.
  • Technical data: standard server log data such as IP address, browser type, device, pages requested and time of the request, created automatically when you visit the site.
  • Account and service data (customers): details about your club and staff, court and screen settings, reservations, player names and photos, sponsor images or videos, and licence and billing information.

We do not ask you for sensitive categories of data (such as health or political opinions) and ask that you do not include them in free-text fields.

3. How and why we use your data

We use personal data for the following purposes, and rely on these legal bases under the GDPR:

  • To respond to your enquiry, prepare a demo or quote, and take steps you request before entering into a contract (Art. 6(1)(b)).
  • To provide, secure, support and bill the Service, and to meet our contract with you (Art. 6(1)(b)).
  • To keep our website and systems secure, prevent abuse, and understand and improve how the Service works, based on our legitimate interests (Art. 6(1)(f)).
  • To send you information about our products, only where you have agreed or where the law otherwise allows; you can opt out at any time (Art. 6(1)(a) or 6(1)(f)).
  • To comply with legal obligations such as tax, accounting and responding to lawful requests (Art. 6(1)(c)).

We do not sell your personal data, and we do not use it for automated decision-making that has legal or similarly significant effects on you.

4. What happens when you submit a form

When you send one of our website forms, your details are transmitted securely to our server and delivered by email to our team inbox so that we can reply to you. The website does not keep a separate database of form submissions; the message is held in our email system and any follow-up records we keep as part of dealing with your request. The fields marked as required (such as name and phone number) are needed for us to be able to respond. Providing anything else is optional.

5. Who we share data with

We share personal data only where needed and only with:

  • service providers who help us run the website and Service, such as hosting, email and infrastructure providers, who may process data only on our instructions and under confidentiality and security obligations;
  • professional advisers such as accountants and lawyers, where necessary;
  • authorities, courts or other parties where the law requires or to protect our rights;
  • a successor, in the event of a merger, acquisition or sale of assets, subject to this policy continuing to apply.

If you use the spectator or player join features, the live score and the player names you or your club choose to display are visible to anyone who has the relevant link, QR code or PIN.

6. International transfers

Our providers may be located in, or access data from, countries outside your own. Where personal data is transferred outside the European Economic Area, we make sure an appropriate safeguard is in place, such as an adequacy decision or the European Commission's Standard Contractual Clauses.

7. How long we keep data

We keep personal data only as long as needed for the purposes above. In general: enquiries are kept while we deal with them and for a reasonable follow-up period afterwards, and deleted when they no longer serve a purpose; contract, billing and tax records are kept for the period the law requires; and customer account data is kept while the subscription is active and then deleted or returned within a reasonable period after it ends, unless we must keep it by law. Server logs are kept for a short period for security and troubleshooting.

8. Cookies

Our website uses only a small functional cookie that remembers your language choice, and we do not use analytics or advertising cookies. Details are in our Cookie Policy.

9. Your rights

Under the GDPR you have the right to:

  • access the personal data we hold about you and receive a copy;
  • have inaccurate data corrected and incomplete data completed;
  • have your data erased in the circumstances set out in the law;
  • restrict our processing in certain cases;
  • receive data you provided in a portable format, and have it transmitted to another provider where technically feasible;
  • object to processing based on legitimate interests, and to direct marketing at any time;
  • withdraw consent at any time, where processing is based on consent, without affecting processing already carried out.

To exercise a right, email info@multiscorescreen.com. We may ask you to verify your identity and will respond within one month, as the law requires. If you are a player or member of a club that uses our Service, please contact that club first, as it is responsible for that data. You also have the right to lodge a complaint with your local data protection authority. If you are outside the EEA, you may have similar rights under your local law.

10. Security

We use reasonable technical and organizational measures to protect personal data, including encrypted connections (HTTPS), access controls and limiting access to those who need it. No system is completely secure, so we cannot guarantee absolute security, but we will take steps to address incidents and notify you and the authorities where the law requires.

11. Children

Our website and business services are aimed at organizations and adults, and are not directed to children under 16. If you believe a child has sent us personal data, please contact us and we will delete it. Where a club shows names or photos of young players on its screens, the club is responsible for having the necessary consent from parents or guardians.

12. Third-party sites

Links to other websites are provided for convenience. We are not responsible for the privacy practices of third-party sites and encourage you to read their policies.

13. Changes to this policy

We may update this Privacy Policy as our Service or the law changes. The current version is always on this page with its last updated date, and we will tell you about material changes where appropriate.

14. Contact

For any privacy question or request, write to info@multiscorescreen.com or use our contact page.
